Summary of expenses for Hackfest and LGM
Hi,
I am about to submit the reimbursement request for the Toronto Hackfest and LGM. We allocated the participants a total of $12000 for the combined event. I will be submitting a reimbursement request for $4910 which, with Jabiertxo's airfare which SFC has already paid for, brings the total participation support by Inkscape to $5780. The final number may change but it won't be by much. (This does not include the $400 allocated for the Inkscape dinner.)
Krzysztof wins the prize for being the thriftiest, managing to find an airfare for Warsaw to Toronto of only $505!

I've eaten all the costs of about $600 for my failed attempt. Most of that was hotel that wouldn't refund.
So no worries there, no reimbursements from me.

No, you should file the expense normally, with an explanation for why you couldn't attend. The Conservancy will evaluate and either get the charges voided or make the reimbursement to you if at all possible. Board policy (and precident) is to try to get these types of things taken care of.
