Future meetings/hackfests
Summarizing the plans from the meeting today:

For the Kiel hackfest, we'll need a proposal and a board vote. Maren, can you set up some pages in wiki; you can use the past hackfests for reference. What should the dates be? When it's ready I'll send out the vote.
Start also contacting people that might be interested in going.

For SCALE, probably worth doing wiki pages, if we're going to try and stimulate attendance. Josh and Ted, can you set these up? If we have enough people, should we also do a mini-hackfest for a couple days before or after the event?

For LGM Saarbrücken, guessing we can probably do the same as for this recent one. Tav, mind setting up wiki pages for it?

Hi Board members,
sorry for the late reply! I've been waiting on confirmation of the possible dates from everyone involved in trying to get a piece of the available rooms (they are much in demand).
We can use the small conference room in the Kieler Innovations- und Technologiezentrum ('Kitz') from (Saturday, Sept. 8th - ) Sunday, Sept. 9th to Thursday, Sept. 13th 2018 (R007 in this pdf: http://www.kilux.de/downloads/Raumuebersicht.pdf)
Tav has kindly already created and prepared the Wiki pages for me to fill in - thank you!
I've added lots of info to http://wiki.inkscape.org/wiki/index.php/Hackfest2018_Kiel
If the suggested dates don't fit with the developers and community members, it's going to be possible to find other dates that fit better.
I'll start contacting people who could be interested tomorrow.
If any board members would like to and can join us in Kiel, please let me know (also about your preferences for a start date). As you're all reading this, Tav, CR, Mc, Martin, Bryce, Josh and Ted, you won't get an extra email :)
Also, let me know if you have any questions about the venue or the town etc..

Hi Maren,
The proposal looks really detailed and solid, good work.
The Board has traditionally sponsored one group dinner out. When the rough number of attendees (+ guests) is approximately known, make an estimated budget for this dinner. For Boston we allocated $600. This comes out of the general fund.
If you wish to also cater a lunch or two, and/or provide snacks/beverages, just estimate a budget for those items as well so that you can be reimbursed. If there are any other incidental expenses anticipated (office supplies, organized outings, etc.) include estimates for those in this budget. Make sure to save all receipts. This will come out of the hackfest fund.

I'll let the board know what I think it may cost, when I know roughly who would come, and what they'd need or want (as I've never been to a hackfest myself, it's a bit hard to guess what people need - and what they prefer to bring (and choose) themselves). Joining the Kitz barbecue could be fun, for example, but it's not remotely a formal dinner, just sitting together (outside, if the weather allows) with other tech people and eating burgers, bratwurst and salads.
