
Hi Inkscapers,
today, I phoned Aude Poilroux, project manager working at k8, who had offered to help us with getting a space for the planned Hackfest before LGM.
k8.design (Institut für strategische Ästhetik) ----------------------------------------------
A non-profit company (gGmbH) owned by the Saarbrücken arts university. They do work on organizing events, art cooperations, digital transformation, supporting and executing projects that originated in the university, and many other things that the university itself isn't allowed to do, because it's an educational institution, and not a business. Their offices are at Keplerstr. 3-5 in Saarbrücken.
Meeting space -------------
Aude is offering us a part of k8's open-plan office for May 27th, 28th and 29th. The part is usually used as sitting area, but they want to put some additional chairs and tables in. She says the place can hold up to 20 persons (but then it will be a bit cramped). There is another adjacent office, that can hold about 10 persons, but it may not be available all the time. We could use it for discussing stuff, while working can be done in the larger room. I forgot to ask about whiteboard/blackboard/projector/flip chart or similar. There are lots of electricity outlets, but we might need to bring some German multiple socket outlets. They have WiFi. I'm not sure about wired LAN, but she says the internet connection is broad band and very fast.
We could use the space from ~ 9:00 in the morning, and if we can name one responsible person, she is considering to give us a key, so we can stay as long as we need.
There is no canteen, and no organized meals. However, the venue is located in a pedestrian zone with multiple places where one can buy food close by. One of them is a wholefood shop, which offers meals at reasonable prices. There are also a couple of bakeries, and then there's a microwave in the office.
She is asking us to let her know the rough number of attendees by mid May. We would then also need to name a responsible person, who would need to sign for the group, and would guarantee for us not wreaking havoc in their offices.
On the 29th, there will be an additional event called "From Code to Community", starting around midday, where local (as in ~ 100km radius) businesses and open source projects are meant to meet. The program isn't ready to be published yet, but it is planned that there will be keynotes by politicians and people from FSFE, talks about open source business applications, talks about open culture, a workshop on collaboration culture, booths from various open source projects (educational, LUGs, mapping, MSF, framasoft). The event is meant to attract students and businesses. It's going to take place in the same building where, at 18:00, the opening of LGM will take place.
Aude is asking us if we would be able to staff a booth there, to present Inkscape to students and small businesses. The event is mostly in German, but people from Luxembourg and France are invited to attend too, so it might be useful to also have one of our French-speaking community members there.
During LGM, they seem to have more rooms available than there will be conference tracks, so she says it should be possible to have a collaboration space for Inkscape. However, we probably won't be able to have the same place continuously, and we would have to ask when we need it. There is also plenty of sitting space available on the venue that is not in a separate room.
So Q1: Shall I confirm the dates as written above?
Q2: Would someone be interested in presenting Inkscape to local people before LGM on Wednesday? (I would be)

Ryan still needs to share the data for the rollup banner that was used in the US, though - if we had that, it would be easy to make one. We would use the https://gitlab.com/inkscape/vectors/content/tree/master/media folder in our repository for saving it. Just needs to be uploaded (and funding for rollup approved by board, or taken from the preapproved amount, of which I remember that it was for last year, though).
I have test-ordered a couple of stickers (see photo: https://framadrive.org/s/ir3kN4TZK4gN7GB), but they didn't turn out as nice as the ones Chris made (they seem to be printed with a lower resolution (photo compression makes it hard to see, though), and 'silver foil' is something different, too - and of course, they lack that bit of creative skill. They're very durable, though, I believe.).
At least I now know what type of data I need to send when printing white on silver, and making cutting lines :)

Okay, that should be plenty. Let Aude know, and maybe ask about how big the event is, so we have an idea for how much handout material to bring.

Checking my records, we approved $80 for the hanging banner including hardware and packaging. For one of the earlier SCALE events, we allocated $80 to cover costs for printing stickers, cards, etc. So that'd suggest a budget of about 150-200 €. Does that sound adequate?
For those events, we had someone pay for the printing and then arrange reimbursement from SFC. This would probably be the easiest way to do it here, although if we plan to do more events and have a specific printer to use (see below), possibly we can arrange a more direct payment from SFC.

Yes, those would be ideal; they went quickly at our booth. (There were piles of stickers at SCALE, you had to be choosy what stickers to take!)
Fwiw, hexagonal stickers were definitely a Thing there. We'd discussed this in the past, might be something to consider.
But what we felt what we really needed were business cards. Something with the URL we could hand out, and that had whitespace to jot notes on for people. This could be simpler to design than a brochure, and super cheap to print a lot of.
An idea Josh suggested was to find a printer that can print and ship the whole set of materials (stickers, banners, cards, brochures) in one go, so as to minimize the amount of legwork needed on our end to piece-by-piece source stuff. We didn't get into details on that though, so I'm hoping Josh can elaborate on the bug report about this:

The planning for the event isn't fully done yet, and I'm not sure she herself can already estimate how many visitors there will be on that day (and if they care about graphics software, or mostly about ERP and CRM).
She's planning for 2 keynotes, and then 3 tracks (2 with talks, 1 workshop) + exhibition, but it's not ready yet.
It's not going to be a huge event, I think, but we'll only know when the program is public.
I assume that we'll also need handout stuff for LGM itself? If we take care to keep things generic and version-agnostic, it's okay if we have leftovers. There's always going to be a chance to spread it :)

Stickers (20 sheets A4) depend on the material selected, but are around 60 €- I've asked for a sample pack for the materials. Customer service is a bit clueless, though. They only know where to click in Adobe Illustrator, so you need to know what you're doing already when ordering there and using FLOSS. Took me some time to learn...

Has anyone seen Ryan around lately? If he doesn't show up, it's probably possible to to reconstruct the banner from the raster images he shared somewhere on gitlab.
