Outreachy
by Máirín Duffy
Hi folks,
I've been terribly neglectful in making this happen, and for that I
really apologize.
The next Outreachy round is opening up Feb 18. I think our status right
now is that the Inkscape Board voted on:
"Inkscape will begin earmarking of donations for the Outreachy internship
program, with the goal of participating in one or more Outreachy slots."
back in Sept as required by the sfconservancy to start fundraising for
the slot. What still needs to be done I think is per ticket #1593 having
bkuhn set up a donate button for funds earmarked for Outreachy.
What I propose to do, since we have missed another round thanks to me,
is to go ahead and have the Outreachy-specific donate button set up, and
to start fundraising with an eye towards the summer round of outreachy.
Does that sound ok?
And a million apologies again for lagging on this,

[RESOLUTION] Participation in Outreachy and authorization for fundraising
by Bryce Harrington
Proposal:
---------
Shall Inkscape participate in the Outreachy internship program, and
allow the earmarking of donations for funding one or more Outreachy
slots?
- [ ] a. Yes, participate in Outreachy and allow collection of
donations to fund one or more internship slots.
- [ ] b. No, do not participate in Outreachy at this time.

Resolution:
-----------
Inkscape will begin earmarking of donations for the Outreachy internship
program, with the goal of participating in one or more Outreachy slots.
Note that at this time it is assumed the cost of the Outreachy
participation will be covered entirely by the earmarked donations.
Background:
-----------
At the Boston hackfest Máirín Duffy suggested Inkscape participate in
the Outreachy internship program, and offered to help with organizing
and fundraising for it. We discussed it in detail at the board
meetings, but I don't think we formally voted on it. Conservancy
requires a formal vote for moving forward with collection of donations
for us.
One way Outreachy appears to differ from the GSoC program is that
funding must be arranged by the mentoring organization. Máirín believes
that adequate external funding can be secured for Inkscape, to cover at
least one student. With the Inkscape Committee's approval, Conservancy
will create a Donate button to receive and earmark funds to be used for
the Outreachy slot.
At this time it is assumed the cost of the Outreachy participation will
be covered entirely by the earmarked donations. If it becomes
desireable in the future for Inkscape to cover portions of the
internship cost, a separate vote will be done.

Bryce, please take that as an action item and email to approvals creating a separate ticket.

Sponsorship updates
by Bryce Harrington
Hi all,
Just wanted to braindump some news & notes about sponsorship.
1. First, today we've gained one new Bronze Stylus sponsor, icons8.com.
Yay!
2. A second sponsor is in the works, we're just waiting on Conservancy for
processing, and should be annnounceable soon.
3. I have sent out renewal reminders to our current sponsors that have hit
their expiration date. I figure we should give them a week to reply
before retiring their entries from the sponsor page.
4. Should we think about increasing our Bronze sponsorship level?
Today SFC told me that they don't like to bother invoicing amounts below
$1000, which makes things a bit difficult if our Bronze sponsors want
invoices. So moving Bronze to $1000 may make sense just for accounting
purposes.
5. Is it time to add a Diamond level?
When we set up the sponsorship levels, we originally included a Diamond
level, but were not sure what amount it should be and decided we'd leave
it out and revisit when it seemed plausible that we might get one.
Given that we have two platinum sponsors currently, it seems plausible
now. What do others think?
6. Do we want to increase other sponsorship levels?
I'm guessing no, but if the board thinks we should this might be a good
time to do so. We may want to do some TBD grandfathering of existing
sponsors.
7. In order to improve our tracking of sponsors a little, I've added a
private "Financial" sub-group to inkscape-board in gitlab, with a
"sponsors" project under it:
https://gitlab.com/inkscape-board/financial/sponsors/issues
I figure we can use the issues tracker with each issue used for a
separate sponsor. I'm treating the issue description as a
semi-structured data record in YAML format, in case some day we want to
tack on tools or integrate with other stuff. For now though it'll just
be maintained manually, but this should hopefully permit >1 bus factor
on sponsor management.
Since Financial is a sub-group of the board, it is possible to add other
highly trusted but non-board people to only this group. I've added
Maren since due to her heavy involvement in sponsors and other financial
matters in the past.
8. I have also added a Legal sub-group to inkscape-board, with a project
for focusing on branding issues like trademark infringement
investigations. This is also a private group, so only visible to board
members plus trusted non-board people. I've added Pamela Chestek and
Denver Gingerich, who are Conservancy lawyers that have worked with us
on some of these issues in the past.

[REFERENDUM] Car Rental for SCALE Hackfest in Pasadena
by Bryce Harrington
The Inkscape board is requested to vote on the following matter:
Proposal:
---------
Ryan Gorley will be traveling from Utah to California to attend the
hackfest. For this distance, the cost of travel by air is commensurate
with the cost of renting a car and driving.
Using a rental car will have significant additional benefits, including
being able to bring professional video equipment and a guest/assistant.
1. Authorize use of car rental for Ryan Gorley to attend Inkscape
hackfest in Pasadena, California, within the normal travel cost caps
already approved.
- [ ] a. Yes, authorize car rental for Ryan Gorley's travel in place
of air travel.
- [ ] b. No, do not authorize car rental.

Resolution:

Background:

Ryan Gorley explains:
Hey Bryce, last year I captured some video at Boston and SCALE. The
intention was to create a video about the project. The goal would be
to educate people on how community run projects like this work, and
paint a picture of how they can get involved and help. I didn't
really have the right gear and a clear enough plan to execute on it
well. I'd like to make another attempt this year, but with some
upgraded video, audio, and lighting equipment from my business.
The trick is that if fly to LA I'm pretty limited on what I can
bring along in the airplane. I also have a friend who has worked
with me on professional video projects in the past that would be
interested in joining and helping for the week.
For me the cost of a car rental (~$191*) and fuel (1400 miles =
~$150) will be comparable to the cost of an airplane ticket
($188~$288*) and ground transportation to-and-from the airport
($32~$192*). It's more exhausting for me, but I would be able to
bring equipment that I wouldn't be able to otherwise, booth banners,
and likely someone who can help. Both of my personal vehicles are a
little older so I'm not sure I'd want to drive either of them that
distance.
Do you think the project/SFC would approve me renting a car and
spending ~$10/night* more to get a room that would accommodate two
people? It would be the same number of hotel nights (7) and my
friend wouldn't be seeking reimbursement for any of his expenses. I
would remain well within my allotted budget of $2000 in either
scenario. As you know, prices are going up and I need to lock
things. Please let me know. Thanks!
Conservancy travel policy permits use of car rental, with prior approval
by the Inkscape board (PLC):
Ground transportation necessary as part of authorized Project trips
is considered to be a reasonable expense. Public ground
transportation, such as taxis, shuttles, buses and municipal
transit, are generally the most cost-effective options and are the
standard for eligible ground transportation reimbursements. All car
rentals require pre-authorization by the PLC or by an officer of
Conservancy. When car rentals have been pre-approved, the rental of
compact cars is encouraged; mid-size vehicles are authorized when
necessary (e.g., when compact-sized vehicles are not available or
the number of passengers or volume of baggage makes a compact
vehicle impractical).

Two potential sponsors?

A little while ago we were contacted by Signomatic and Couponbox about
sponsorship. Does anyone have any concerns about either of them? If
not, I'll reach out to them later this week.

Background:

The Inkscape project is transitioning its collection of (over 5000) bug
reports from Launchpad to Gitlab. In order to cleanup the collection
we are recruiting triagers to assist in re-reproducing each of the bugs
and improving the reports. To give recognition to the best participants
in this effort, we will be printing and sending stickers to selected
individuals based on performance criteria.
Receipts for sticker printing and postage/shipping will be collected and
provided to Conservancy as necessary for reimbursement requests.

So, I got an initial quote for the bug stickers, and we are looking at
about £50 for the special bugs, and another £50 for the award stickers,
which isn't too bad.
This does not include mailing costs to ship out the swag, but I'm hoping
it's not more than £100 to do that.
Can I get approval for £200 for stickers+ shipping? I'll of course try to
come under budget for the lot.
Also, we wanted to offer some big prizes for the top bug wrangers. Any
ideas on what? And what the budget might be for acquiring/shipping these
items?
